Position: Administrative Assistant

 

 

Full time (37.5 hours each week). Monday to Friday, daytime.

 

 

Pay: $25.00-$30.00 per hour

 

 

 

Start date: estimated March 24th, 2025.

 

 

 

This is a hybrid position with in-office work required.

 

 

Our offices are located in Kanata, Ontario.

We are seeking a detail-oriented Administrative Assistant that works well in a busy office. The ideal candidate will play a crucial role ensuring the smooth operation of our office by providing essential administrative support on many levels. This position requires strong organizational skills, attention to detail, and the ability to manage multiple tasks efficiently. The Administrative Assistant will be responsible for maintaining effective communication within the office, with families, and with external stakeholders.

 

 

 

Responsibilities

 

 

  • Coordinate programs and fundraisers following outlined procedures.

     

  • Daily communication/briefing with the President.

     

  • Issue charitable tax receipts.

     

  • Create, update and maintain spreadsheets and documents.

     

  • File documents, forms.

     

  • Note-taking.

     

  • Respond to incoming and outgoing communications with accurate information.

     

  • Reply to emails from parents, vendors, clients, and colleagues in a sensitive, confidential, and professional manner.

     

  • Provide support to ensure efficient operation of the company.

     

  • Proofread documents, emails for accuracy and clarity before distribution.

     

  • Assist with the daily operations of the office, including clerical tasks such as scheduling appointments.

     

  • Collaborate with team members to improve administrative processes and enhance overall efficiency.

     

 

Skills and Experience

 

 

  • 5 years experience as an Administrative Assistant or in a similar role.

     

  • Strong organizational skills with the ability to prioritize tasks effectively.

     

  • Critical thinking, resourcefulness.

     

  • Strong writing, communication, and interpersonal skills.

     

  • Excellent proofreading skills to ensure high-quality work.

     

  • Expert knowledge of MS Office - SharePoint, OneDrive, OneNote, Teams, MS Office, Excel, Word, PowerPoint, data entry, document creation, and appointment scheduling.

     

  • A positive attitude and willingness to learn new skills in a dynamic work environment.
